Your data and privacy

Who controls which data, what is kept and for how long, and how to ask for a copy of your data or for it to be erased.

Updated 2026-11-02

The Privacy Policy and GDPR Compliance pages are the full statement. This page shows who does what, and how to make a request.

Who controls what

Data Who controls it
Your account, your team's users and your billing details MailAdx
The website, and forms you fill in on it MailAdx
A publisher's subscribers, and ad serving to them The publisher. MailAdx processes it for them
Campaign delivery and reporting The advertiser. MailAdx processes it for them
Ad Choices opt-outs MailAdx
A form a reader submits in an Interactive Ad The advertiser named in the form. MailAdx processes it for them

What's kept, and for how long

Data How long
Account data While your account is active, and for a reasonable period after, for disputes, agreements and legal duties
A reader's location, from a click Up to 12 months. Deleted when the reader opts out
A reader's location, from an open Up to 6 months. Deleted when the reader opts out
Personal details in an Interactive Ad form 90 days after it's submitted. After that, only a count stays
Ad Choices opt-outs Until the reader asks to remove them, or they're no longer needed to honour the opt-out

For ad events and audit logs, see section 10 of the Privacy Policy.

MailAdx works with a hash of a reader's email address rather than the address itself. It doesn't share subscriber email addresses with advertisers for their own marketing lists.

Ask for a copy of your data, or for it to be erased

There's no button for this in the app. Make the request by email.

  1. Write to the privacy address in section 12 of the Privacy Policy, from the email address on your account if you can.
  2. Say what you want: access, a copy, a correction or erasure, and which account it's for.
  3. MailAdx may ask you to verify your identity before it acts.

What happens next

The Privacy Policy sets out how MailAdx handles the request. Records that the law requires, such as tax and accounting records, can be kept even after an erasure. If your account closes, MailAdx may delete your data after a reasonable retention period, so export or keep what you need first.

For publishers

When a reader asks you

You control the subscription, so the reader comes to you first. For an opt-out from ads, send them to Ad Choices. If you need MailAdx to help with a deletion or export on its side, contact support@mailadx.com. MailAdx helps where it's technically possible.

For advertisers and agencies

When a reader asks about a form they submitted

You're the controller of the details you received from an Interactive Ad form, so you must handle the request for your own copy. MailAdx deletes its copy after 90 days. To have it erased sooner, contact support@mailadx.com with the reader's email address.

Data Processing Addendum

If you need one, ask from your registered account email, using the address in section 5 of GDPR Compliance.

If something goes wrong

  • You're a reader, not a customer. Use Ad Choices to stop ads, and contact the newsletter for anything else.
  • You aren't happy with the response. You can complain to your data protection authority.
